The problem

The care is already there. The record should match it.

You already treat every pet like it matters. What slips is the paper trail: who had them, when, and what the family takes home. PetCremLog turns every case into a documented, timestamped chain of custody from intake to return.

What's at stake

Certainty, every single time

Families need to know the pet coming home is theirs. A timestamped custody record from arrival to return means you answer that with a document, not from memory.

Your time

Clinics call because they can't see

Partner clinics ask for updates because asking is the only way they have. A read-only status link gives them the answer without the phone.

What they keep

The certificate outlives the service

It is the one thing the family keeps forever. It should look like the care you put in, not like a Word template.

How it works

Nothing here is extra work.

The same order you already work in. Each one writes the part of the record you would otherwise write later, or not at all. No RFID hardware. No platform rollout.

1 Pet intake

Log the intake at pickup.

Create pet, service, photo, and clinic details from your phone during pickup. PetCremLog assigns the tracking ID and writes the first custody event.

  • Supports both cremation and aquamation workflows
  • Individual, partitioned, and communal service types
  • Intake photo attached to the permanent record
  • Works on any phone or tablet without installation

2 Tracking label

Print the label. Tag the pet.

The label carries the tracking ID, the service, your tags, and a QR code that opens the case. It is the physical half of the chain: the record on the shelf matches the record in the system, and your team can scan to check.

  • QR scans straight to the case, no typing
  • Service tag and permanent ID printed on the label
  • Prints on any label printer or plain paper

3 Chain of custody

Built for the service room, not the office.

Move the case through intake, processing, completed, and returned. Status only moves forward, and every change writes a timestamped, append-only event with the operator's name. Chain of custody breaks when it's hard to log, so this runs on any phone, from the floor.

  • Intake, processing, completed, returned: forward only, never rewritten
  • Each event records the operator name and timestamp
  • One-tap updates without leaving the service area
  • Optional notes and photo per custody event

4 Documents

The document families keep forever.

When the case is complete, the certificate is ready. It is the permanent record a family holds on to, so you customize the wording, the template, and the fields before producing the PDF. The case record PDF comes from the same screen: the operational proof, with the full custody timeline.

  • Cremation or aquamation certificate, with optional pet photo
  • Custom template, wording, memorial phrase, color, and field visibility
  • Case record PDF with intake details, tracking ID, dates, and the full chain of custody

5 Clinic status links

Let the clinic check without calling.

Partner clinics call because asking is the only way they have. Give each one a scoped, read-only link and they check their own cases themselves, whenever they want. They see status. They never see your other clients.

  • Scoped per contact: a clinic sees only its own cases
  • Read-only status, never your internal notes
  • Links can be rotated or disabled at any time

Security and trust

Basic operational privacy without compliance theater.

PetCremLog is designed to keep pet aftercare records private, organized, and accessible only to the right people. The certificate families receive is part of that trust.

Private by default

  • Case records, intake data, photos, and notes stay inside your account.
  • Internal notes and custody photos are not exposed publicly.

Scoped status sharing

  • Partner clinics and families only see limited read-only case status.
  • Links can be rotated or disabled when needed.

Billing and data control

  • Payments run through a dedicated payment processor, so PetCremLog never sees or stores your card details.
  • You can cancel, export records, and delete account data from Settings.

Important: PetCremLog is not legal compliance software and does not replace professional regulatory advice. It records operational data to support your recordkeeping practices. Consult the regulations in your state for specific legal requirements.

Comparison

PetCremLog vs full pet aftercare platforms.

Most pet aftercare software falls into one of two categories. Full platforms with RFID hardware, multi-portal access, and implementation fees serve operations that want to digitize everything. Options like Angelpaw, Beloved Pet Software, and Halcyon fit that market.

PetCremLog is the other category. It is built for providers doing 20 to 200 cases a month who want one job done well: chain of custody from intake to return, with certificates and family or partner clinic status links. No hardware. No setup fee. No per-pet surprise charges.

Choose a full platform if you need:

  • RFID tracking
  • Pet parent mobile app
  • Multi-location with role-based access
  • Memorial product ecommerce
  • Full vet PIMS integration

Choose PetCremLog if you need:

  • Mobile-first chain-of-custody tracking from intake to return
  • Professional certificates for families
  • Recipient-scoped status links for partner clinics and families
  • Case records ready to review
  • Simple monthly pricing with no per-pet fees

FAQ

Common questions.

Can't find your answer? Send me a message.

What is chain of custody and why does it matter?

Chain of custody is a documented record of who had possession of a pet's remains at each step: intake, processing, completion, and return. In flame cremation or water-based aquamation, a gap or error in that chain can cause irreversible harm to a grieving family and lasting damage to your reputation. PetCremLog creates an append-only, timestamped custody log for every case.

Do I need any RFID hardware or special equipment?

No. PetCremLog does not require RFID scanners, barcode readers, or any hardware beyond a smartphone or computer with a browser. You generate QR labels as PDFs that you can print on any label printer or standard paper.

How do partner clinic and family status links work?

Each contact can get a unique, secure status link. Partner clinics see a scoped read-only list of their active cases, and individual families can receive a case-specific link when needed. You control when each link is active and can rotate or disable it at any time.

Can I log intakes from my phone during a pickup?

Yes. PetCremLog is a mobile-first web app that runs in any phone browser without installation. You can create an intake, attach a photo, select the partner clinic, and generate the QR label all from your phone.

What does the certificate include?

The certificate PDF can include your facility name, optional pet photo, pet name, breed, service method, service type, service date, memorial phrase, certification wording, and tracking ID. You can customize the template, displayed fields, color, and date display before generating it.

How does launch pricing work?

The launch price is $79/month for the first 20 operators. That price is locked while your subscription stays active. After the first 20 spots, pricing will be higher for new subscribers. Annual billing is also available at $711/year, which includes 3 months free.

Can I cancel, get a refund, or come back later?

Yes. There are no long-term contracts and no cancellation fees. First-time customers have a 14-day money-back guarantee. If you cancel and return later, you are welcome back at the then-current price.

Are there per-pet fees or pet limits?

No per-pet fees. The launch price includes unlimited cases, certificates, family status links, partner clinic status links, and custody events. PetCremLog is built for small and medium pet cremation and aquamation providers. Unusually high-volume or abusive usage is handled under the Fair Use terms. PetCremLog will never apply surprise usage charges.

What happens to my data if I cancel?

You can export your data from Settings. After cancellation, your account remains accessible until the end of the paid term. Account data is retained through paid access and for 90 days after paid access ends. After that retention window, the account and associated data may be permanently deleted.

Does PetCremLog handle invoicing or billing to partner clinics?

No. PetCremLog is an operational chain-of-custody tool, not an accounting or invoicing system. It does not generate invoices, connect to QuickBooks, or manage your billing to partner clinics.

Does PetCremLog ensure compliance with state regulations?

No. PetCremLog records operational data and generates certificates to support your recordkeeping practices. It does not interpret state-specific legal requirements or certify compliance. Consult the regulations in your state and consider membership in IAOPCC or PLPA for industry guidance.

About

Built by a founder you can reach directly.

PetCremLog exists because the care small providers give never showed up in the paperwork. I built it after watching how much of this work runs on loose notes and habit: the people doing it care deeply, but the record never matched the care.
One focused tool instead of a spreadsheet and a good memory.

I'm Paul Oliver, the creator of PetCremLog. I keep the product focused on practical workflows, clear records, and direct support. If something does not work the way it should, you hear back from me.
