Pet case records ready for review
When a case has to be reviewed later, the record should be complete and readable by someone who was not there. PetCremLog generates case record PDFs from current operational data, so the internal document reflects what the system actually holds rather than a snapshot that stopped being accurate months ago.
Two documents with two different readers
The certificate and the case record answer to different audiences. The certificate follows the certificate template your team configures for families, so it stays clean and emotional and is meant to be kept. The case record is for you, an auditor, or a clinic raising a question, so it stays complete and operational. Trying to make one document serve both readers is how providers end up with a certificate full of internal detail, or a case record that reads like a sympathy card instead of a working document.
What the internal case record contains
The case record carries the pet, the clinic or family contact, the service method and type, the tracking details, and the complete custody event timeline drawn from the same chain of custody your team logs while working the case. Each event in that timeline carries two timestamps rather than one: the activity time, when the step actually happened on the floor, and the recording time, when it was logged in the system. Keeping both means a busy afternoon that gets logged an hour late still shows the real order of care, not just the order entries were typed. Anyone reading the record should be able to reconstruct the case in sequence without stopping to ask a colleague what happened between two of the steps.
Who actually reads a case record
A case record gets read by more people than the case notes suggest. A new operator picking up a case mid custody often reads it first, to see what already happened before adding the next event. An owner reviewing a quarter of cases reads it to spot patterns rather than individual problems. A clinic with a pointed question reads more of it than the clinic status link is built to show, because that link stays scoped to status on purpose, and a written record is what answers the harder question. None of those readers were in the room when the case moved through your facility, which is exactly why the record has to stand on its own.
Generated on demand from current data
There is no separate case record object to keep in sync. The PDF is produced when you open it, from the case as it stands at that moment, which means it cannot drift away from the system the way a saved export does. If the underlying case is corrected, the next generated record shows the correction along with the event history that produced it.
Why it matters when something is disputed
Disputes are rare and expensive in attention. When one arrives, the difference between a complete record and a partial one is whether the conversation takes ten minutes or several days of reconstruction. For example, a clinic that calls three weeks after a case closed, asking whether a pet was cremated individually or as part of a communal service, is answered by the record's service type field and custody timeline rather than by whoever happens to remember that week. Timestamps, operator names, and a forward only custody history let you answer with the file rather than with recollection, and that usually ends the question instead of extending it.
Export before you need it
Operators can export case records and certificates from the product, and doing that on a schedule is worth more than doing it in a hurry. If you ever cancel, export before account data is removed under the terms rather than after, because the terms govern when data goes away and a request afterwards is not a recovery plan. Treat exports as part of closing a period, not as an emergency step.
Keeping records readable years later
The test for any record is whether a stranger can read it correctly in three years. PDFs generated from structured case data pass that test better than a spreadsheet whose column meanings lived in someone's head, or a paper file that depends on handwriting. Keep the export format boring, keep the identifiers stable, and the record stays useful long after the software conversation has been forgotten.
