A tracking ID before the pet moves
Every case gets an internal tracking ID at intake, before the pet moves into processing. That ID connects the physical pet, the QR label, the custody history, and the documents you generate later. The same ID prints on the tracking label with a QR code, so the tag on the shelf and the record in the system are two views of one identifier: scan the label and the case opens, with nothing to retype and nothing that can quietly drift out of sync. Assigning the ID at the moment of transfer, rather than at a desk afterwards, is the single change that prevents most identification problems, because there is never a window where a pet is in your care without one.
Corrections without erasing history
Mistakes happen: a status gets advanced before the paperwork catches up, or a technician logs an event under the wrong case and needs it fixed. PetCremLog does not let a correction erase what was there before. The original entry stays in the timeline, and the correction is added as a new event with its own author and reason. That distinction matters for a custody record specifically, because a record that can be silently edited is not really a chain of custody, it is a note that happens to carry timestamps. Forward only status keeps the timeline readable
Status advances through intake, processing, completed, and returned, and it does not move backwards. The result is a timeline anyone can read in order, including someone reviewing it much later, and a record in which the absence of an unexplained gap is itself meaningful.
Operator and timestamp on every event
Each custody event records who advanced it and when. That is what separates a status field from a record: a status tells you where a case is now, while an event history tells you how it got there. It also removes the awkward reconstruction that happens when a question arrives on a Monday about work that three different people did across two shifts the previous week.

If you want to audit your current process before changing software, walk one case and check twelve points: pet identified at transfer, clinic or family recorded, service method and type captured, tracking ID assigned, QR label printed and attached, intake timestamped, operator named on each event, processing recorded, completion recorded, return confirmed with a date, certificate fields verified before generation, and the case record readable by someone who was not involved. Gaps in that list are where disputes start.
